SHOWROOM ASSISTANT
Job Summary:

We are seeking a dynamic and versatile individual to join our team at OKHA.  This role will encompass a diverse range of responsibilities including personal assistance to the OKHA Director, project management support and showroom assistance.

The successful candidate will play a pivotal role in supporting our daily operations and contributing to the growth and success of OKHA.

KEY RESPONSIBILITIES

Include but are not limited to:

PERSONAL ASSISTANCE TO THE DIRECTOR

  • Manage the director’s diary efficiently.
  • Handle correspondence, draft letters/documents, and gather information as needed.
  • Screen calls and assist with setting up generic email responses.
  • Provide occasional personal assistance and be available for driving and collections.
  • Pre-plan meeting requirements and type meeting agendas and minutes.
  • Arrange travel logistics.

PROJECT MANAGEMENT SUPPORT

  • Process daily enquiries, including quotations and client follow-ups.
  • Answer phones professionally, direct calls, or take messages.
  • Provide sales support and assist clients when Project Managers are occupied.

SHOWROOM ASSISTANCE

  • Maintain the showroom’s overall appearance and functionality.
  • Ensure lighting and electrical systems are in working order, reporting any issues promptly.
  • Handle petty cash and purchase necessary supplies.
  • Conduct monthly stocktakes and maintain accurate records.
  • Assist with visual merchandising and showroom admin tasks.
  • Liaise with suppliers and coordinate consignments.
  • Research and coordinate showroom art and accessories consignments.

ESSENTIAL SKILLS & CRITERIA

  • Proficient in Microsoft Office Suite.
  • Strong verbal and written communication skills.
  • Ability to understand and follow instructions accurately.
  • Creative problem-solving skills.
  • Excellent organisational skills.
  • Self-motivated with a proactive approach.
  • Ability to build relationships internally and externally.
  • Team player mentality.
  • Valid drivers license and own vehicle for daily/weekly errands.
